Asst HR Manager
• Assist HR Manager in leading the HR team and enable them to deliver comprehensive HR services to the business and proactively advises on best practices. • Development and administration of HR policies and procedures related to all functions and educate the employees. • Understand the manpower requirements and develop appropriate recruitment system. Conduct interviews with incumbents to fill job vacancies, prepare candidates evaluation reports, providing recommendations for hiring, ensuring the timely recruitment and availability of high-quality candidates. • Ensure that recruited employees are receiving the HR Induction and Orientation, QID, Resident Permit, Health Card, Food Handling Certificates, Fit to Work Certificates and deployed instantly to the concerned locations and departments. • Enhance the existing HRMS ERP System by identifying the gaps. Design and implement Employee Self Service System and automate the various HR processes leading to a paperless organization. • Ensure that employees complaints and grievances are addressed through appropriate process and disciplinary processes are conducted promptly, fairly and in accordance with Code of Conduct and labor laws. • Ensure the implementation of strategies and plans for Qatarization to meet Company’s objectives on attracting and retaining Qatari National employees. • Development and implementation of KPI based Performance Management System to ensure proper performance monitoring and performance management processes and lead to continuous improvement of organizational performance. • Coordinate with the Internal & External Audit team and assist in responding to their queries and compliance audit report. • Monitor and approve regular vacation scheduling and all types of leaves including business trips and ticketing in accordance with the policies and procedures. • Preparation of annul HR budget including operational and administrative functions and consolidation of annual manpower budget of the organization. • Regular management reports on organization development initiatives, policies and program implementations. • Maintain personal files, employee records, monitor time and attendance records and oversee the payroll administration for timely salary payments. • Manage employee exit and termination process. Ensure that exit interviews are conducted, data maintained and the cause of employee exits (especially top performers) is analyzed and proper measures are taken. • Advise and implement reward and recognition initiatives that will reduce employee turnover and reward high performing staff. Research and advise on remuneration trends and practices that will assist to retain and attract quality staff. • Develop, implement, promote, monitor and revise HR Manual, Employee Hand Book, Code of Conduct & Disciplinary philosophy, Compensation & Benefits Structure etc.. • Maintain highest standards of professional conduct, ethics and integrity in provision of the services to maintain a productive work culture and ensuring Amwaj becomes the employer of choice in Qatar.
• Supervise the end to end recruitment process of the organization. Attracting and acquiring the best talent through appropriate routes. Design & Deliver the recruitment materials & Identify the best talent to ensure the organizations KPI's are met on time by the right resources. • Assess and anticipate HR-related needs in all business units and proactively communicate it to the management. Formulate partnerships across the HR function to deliver value added service to management and employees that reflect the business objectives of the organization. • Liaising with the recruitment agencies to ensure the sourcing is in line with the organization's requirements and participates in the overseas recruitment trip to various countries. • Identifying the routes and mapping the appropriate methodology for the best talent acquisition through contacts, sources, job portals, references, social medias and recruitment consultants. • Using Qatar E-Government system for processing various work visas and business visas. • Participate in the major Career Fairs and Events for the recruitment of prospective candidates. • Create new employee master records in the Oracle Human Resources Management System. • Providing candidates with appropriate and constructive feedback and conduct the employee orientation for all the new recruits. • Producing MIS reports as and when required and interpreting it to identify the recruitment trends and analysis reports. • Keep the record and update the status of the available visas (nationality wise) with Company. • Respond to the internal / external audit team on their queries and compliance audit report. • Assisting the Recruitment Manager to develop the recruitment policy, manpower planning and ensure adherence to it so as to see that best people with highest potential are recruited. • Overseeing and guiding the Recruitment Team in terms of preparing job descriptions, job adverts and Applicant Tracking System. • HRBP (HR Business Partner) for the Aftersales Division consisting of 1200+ employees for their HR related queries, grievances, local legislation, policies & procedures, employee engagement, performance management, Rewards & Recognition, disciplinary actions etc.. • Analyse staff turnover rates, ascertain any common reasons and advise HR Management of any trends and make recommendations for corrective action. • Encourage a positive working environment and strong employee retention by working to understand manager and employee needs and challenges. • Manage employee relations, including providing advice and counsel to employees, managers and leadership. • Partner with Corporate HR to provide consistent rollout and support of HR programs across the organization. • Handle the employee transfers, exit interviews, accommodation / transportation issues and Internal Job Positing.
• Handling all the paper works related with “Jawazat” and “Embassy” regarding iqama and passport renewal, sponsorship change, re-entry works, final exit and so on. • Receiving the new employees, provide the necessary household items and accommodate them properly, preparing their contracts and files etc. • Preparation of vacation allowance and service allowance reports of the employees. • Create and update the records of all employees in computer (Arabic Software – Alpha) and manually. • Preparation of various kinds of HR / Personnel Forms, employment contracts and typing correspondences (English & Arabic). • Coordinate with the medical insurance companies with regards to employees health insurance. • Maintain the electronic time and attendance system and generate the computerized timesheets, overtime, absents and other reports required for the payroll.
• Assist and acts in a confidential capacity to the Director of Aircraft Maintenance & Modification Department his day-to-day office functions and department operations by providing senior level secretarial and administrative support. • Performs administrative duties including dictating and typing all personal and official correspondences, reports and memoranda emanating from the Department Head. Attends meetings as the departmental representative and transcribes notes on proceedings. • Prepare and update annual planned / actual vacation schedule of the department employees. • Arranging meetings and business trips which includes air ticket booking and hotel reservation and handling all appointments and inward and outward register maintenance. • Prepare computerized charts and graphs showing the status of completion and schedule of jobs of the aircraft maintenance for daily briefing. • Preparation of monthly timesheets for submission to Finance Department for salary payment which includes overtime, shift allowance, sick leave and absentees report. Route daily attendance report to Planning Department for statistical utilization. • Co-ordinate with HR Department regards to vacation leave and sick leave, keep and update employees records both in Airsoft/400 time and attendance system and individual manual files.
